For Australian bookkeepers and small accounting firms

Client invoices in. Renamed, filed in Drive and logged in your sheet.

Your clients keep emailing invoice PDFs the way they do now. LedgerDrop reads each one, names the file by your rule, saves it in the client's Google Drive folder and adds a line to their Google Sheets ledger: supplier, date, invoice number, net, GST and total.

Built for Australian GST invoices: the ABN, the tax invoice rules and the GST rate are read the way they appear there.

Today, someone in your practice does this every week

Dig through email

Find the invoices in each client's messages, often five at a time with a subject like "receipts".

Download and rename

Save every PDF and give it a name you can find again at year end.

File it

Drag it into the right client and month folder.

Type it in

Copy supplier, date, invoice number, net, GST and total into the spreadsheet, then check the sums.

Ten minutes per client per week is hours a month of copying numbers from one screen to another.

With LedgerDrop

Clients send, nothing changes for them

Each client gets their own address to email or forward invoices to. You can also forward to it yourself, or drop files in a Drive folder.

It reads every invoice

Supplier, ABN, invoice number, date, net, GST and total, from the PDF or a phone photo of the paper. It checks that the ABN is valid and that net plus GST equals the total.

It files and logs it

The file is renamed by your rule and saved in the client's Drive folder. A row lands in their Google Sheet with a link to the file. Anything unclear waits for you.

Try it with a sample client email

Fictional clients and suppliers. Nothing is read, uploaded or sent.

Pick an email that just arrived:

Choose an email to see what lands in Drive and in the ledger.

What LedgerDrop doesn't do

It does one thing: gets the invoices your clients send into the right folder and the right sheet.

  • It is not accounting software and does not replace yours
  • It does not decide how an invoice is treated for tax, or whether GST can be claimed: that stays your call
  • It never overwrites or deletes a row or a file that is already there
  • It never adds a line it is not sure about, and it skips invoices already in the ledger

Questions

Which countries do you support?

We start with Australian GST invoices. If you also have clients in other countries, tell us on the waitlist form.

Which ledger does it write to?

A Google Sheet per client, in your Google Drive. You choose the columns and their order. Excel users can open or download the same sheet. Xero and QuickBooks exports are on the list; tell us which one you use.

How do my clients send invoices?

Each client gets their own email address. They email or forward invoice PDFs or photos to it, the way they already send them to you. You can also forward emails yourself or drop files into a Drive folder.

How are files named?

By a rule you set, for example date, supplier, invoice number and total: 2026-10-03_Northwind-Stationery_INV-20931_412.50.pdf. Files go into a folder per client, year and month, or any structure you prefer.

What if it reads something wrong?

Every invoice is checked: the ABN must be valid, net plus GST must equal the total, and the same supplier and invoice number cannot be added twice. Anything that fails a check or falls below a confidence threshold goes to a review list instead of the ledger. Every row links to the original file.

Is the ledger ready for the BAS?

Yes. Net, GST and total are in separate columns and credit notes are negative, so a quarter's rows add up to the GST on purchases figure for the BAS. You still decide what can be claimed and which purchases are capital.

Is client data kept confidential?

Invoices are processed only to fill your folders and ledgers, are encrypted in transit and at rest, and are not used to train AI models. Files are stored in your own Google Drive. See our security page for details.

How much does it cost?

$15 per client per month for unlimited invoices, or $0.10 per invoice. You can mix both across clients. Free 14-day trial.
